How to Study for a Memorization-Based Exam Using the Leitner System and Modified Pomodoro Technique

Memorization-heavy exams create a particular problem for students. The challenge is usually not understanding the material once. It is being able to retrieve a large amount of information accurately, quickly, and repeatedly—sometimes weeks after first encountering it. Reading a chapter several times, highlighting important passages, or reviewing a study guide can create a strong sense of familiarity without producing equally strong recall. Something can look completely familiar on the page while remaining surprisingly difficult to produce when the book is closed.
A useful solution is to combine two different study methods that solve two different parts of this problem: the Leitner System and a modified Pomodoro Technique.
The Leitner System organizes what you study and how often you return to it. It turns flashcards into a progressive system in which poorly learned information receives frequent attention while increasingly well-learned information is reviewed at longer intervals.
The modified Pomodoro Technique organizes how you use your study time. In the approach described here, studying occurs in concentrated 45-minute sessions followed by 15-minute breaks. This differs from the traditional Pomodoro Technique, which was developed by Francesco Cirillo around shorter work intervals, but it applies the same basic principle of alternating periods of concentrated work and deliberate rest.
Together, the methods create a structured memorization system:
Learn → Retrieve → Sort → Space → Retrieve Again → Master
This is particularly well suited to exams requiring the memorization of definitions, terminology, diagnostic criteria, historical facts, formulas, laws, anatomical structures, vocabulary, theorists and theories, medications, dates, classifications, or other discrete pieces of information.
Research on learning provides good reason for emphasizing these processes. Retrieval practice—trying to produce information from memory rather than simply rereading it—and spacing—returning to material after time has passed—are among the better-supported strategies for improving long-term retention. A meta-analysis of spaced retrieval research likewise found substantially better retention from spaced rather than massed retrieval practice.
The purpose of the system, therefore, is not to make studying feel easy. It is to make remembering increasingly reliable.
Part I: Build the Flashcard Deck
Before beginning the Leitner process, convert the material that must be memorized into questions.
This distinction is important. A flashcard should not simply contain information. It should demand retrieval.
A weak flashcard might say:
Classical Conditioning — Pavlov
That card invites recognition. You can look at it and think, "Yes, I know that."
A stronger card asks:
Front: Who is most closely associated with classical conditioning?
Back: Ivan Pavlov.
Or:
Front: What type of learning occurs when a previously neutral stimulus comes to elicit a response through association?
Back: Classical conditioning.
The second format forces the brain to produce an answer before seeing it. That act of retrieval is itself part of the learning process.
Keep Cards Small
Whenever possible, each card should test one retrievable unit of information.
Avoid creating a card such as:
"Describe Freud's theory of personality, psychosexual development, defense mechanisms, and therapeutic approach."
Even if you know 80 percent of the answer, you will have difficulty deciding whether the card should advance.
Instead, divide the material:
What are Freud's three structures of personality?
What operates according to the pleasure principle?
What operates according to the reality principle?
What is repression?
What is projection?
What is the correct sequence of Freud's psychosexual stages?
The cards become easier to score objectively and weaknesses become easier to identify.
Use Both Directions When Necessary
Some information needs to be recalled in both directions.
For example:
Front: What theorist developed the hierarchy of needs?
Back: Abraham Maslow.
A second card might ask:
Front: What major theory is associated with Abraham Maslow?
Back: The hierarchy of needs.
Being able to recognize Maslow when prompted by the theory does not necessarily guarantee that you can retrieve the theory when prompted by Maslow.
Match the Cards to the Exam
Whenever possible, make the retrieval task resemble what the exam will require.
If the examination requires definitions, practice producing definitions. If it requires distinguishing similar concepts, create cards that require discrimination between those concepts. If it requires application, include short examples and ask which concept is demonstrated.
Flashcards should therefore gradually include several kinds of questions:
Identification: "Who developed this theory?"
Definition: "What does this term mean?"
Reverse retrieval: "What term describes this definition?"
Discrimination: "What distinguishes X from Y?"
Application: "Which concept is illustrated by this example?"
This prevents memorization from becoming merely the recognition of familiar words.
Part II: Create the Four-Level Leitner System
Divide your cards into four levels. Physical cards can be placed into four boxes, envelopes, sections of a card organizer, or piles. Digital cards can be tagged or sorted into four equivalent categories.
Label them:
Level 1 — Learning
Level 2 — Developing
Level 3 — Strong
Level 4 — Mastered
Every new card begins at Level 1.
The central rule is simple:
Cards earn their way upward through successful retrieval.
Do not promote a card because it looks familiar. Do not promote it because you "basically knew it." Do not promote it because you remember seeing the answer.
The answer must be retrieved.
Level 1: Learning
These are new cards and cards that are currently difficult.
Level 1 receives the greatest attention.
Take a card and read the question. Before turning it over, say the answer aloud or formulate the complete answer mentally. Only then reveal the back.
If correct, the card becomes eligible to move to Level 2.
If incorrect, it remains in Level 1.
Importantly, immediately seeing the correct answer does not transform an incorrect response into a correct one. The purpose of the system is to measure retrieval, not recognition after feedback.
Level 2: Developing
Cards reaching Level 2 have been successfully retrieved at least once.
They should no longer receive the same constant repetition as Level 1 cards. Some time should pass before they are tested again.
If successfully retrieved after that delay, the card advances to Level 3.
If it cannot be retrieved, return it to Level 1.
This may initially feel punitive. It is not. The system has simply discovered that the memory was less stable than it appeared.
That information is useful.
Level 3: Strong
Level 3 contains information that has survived repeated retrieval and some spacing.
These cards should appear substantially less frequently than Level 1 cards.
If answered correctly after an appropriate delay, they advance to Level 4.
If answered incorrectly, return them to Level 1 or, in a somewhat more forgiving version of the system, Level 2.
For a high-stakes memorization examination, returning incorrect cards to Level 1 is generally the safer rule because it forces renewed retrieval practice.
Level 4: Mastered
Level 4 represents information that has been retrieved successfully several times across separate study periods.
These cards are no longer part of ordinary daily studying.
However, mastered does not mean permanently removed.
Periodically sample Level 4 cards. As the examination approaches, conduct increasingly comprehensive reviews of them. Any Level 4 card that suddenly cannot be retrieved should immediately reenter the active system.
The important principle is that a card reaches Level 4 because you have repeatedly demonstrated that you can retrieve it—not because you have repeatedly looked at it.
Part III: Space the Four Levels
The power of the system comes from allowing time to pass between successful retrievals.
A simple schedule might be:

The exact intervals are less important than the underlying principle: higher levels receive increasingly spaced review.
Research strongly supports spacing retrieval attempts rather than repeatedly testing the same information immediately. There is less evidence that one particular pattern of progressively expanding intervals is uniquely optimal, so there is no need to become overly rigid about whether a card is reviewed after precisely two, four, or seven days.
What matters is that the card disappears for a while and then asks:
Can you still retrieve me now?
That delay is part of the test.
Part IV: Use 45/15 Study Cycles
Now place the Leitner System inside a predictable study schedule.
Each hour becomes:
45 minutes — focused study
15 minutes — complete break
This is a modified version of the Pomodoro concept rather than the original 25-minute Pomodoro interval. The longer period is useful when working through a substantial flashcard deck because it provides enough time to enter a sustained retrieval rhythm without stopping every few minutes.
During the 45 minutes, studying is the only activity.
Silence unnecessary notifications. Close unrelated browser tabs. Put the phone away unless it is being used for the flashcards or timer. Do not intermittently check email or social media.
The 45 minutes should have a clear beginning and ending.
Set the timer and begin.
When the timer ends, stop.
The 15-Minute Break
The break is genuinely a break.
Stand up. Walk. Stretch. Get water. Use the bathroom. Have a snack. Look outside. Move around.
Avoid turning the break into another cognitively demanding activity.
The purpose is to create a rhythm in which the brain repeatedly encounters:
Concentrated effort → disengagement → concentrated effort → disengagement
After 15 minutes, begin another 45-minute session.
For example:
9:00–9:45 — Study
9:45–10:00 — Break
10:00–10:45 — Study
10:45–11:00 — Break
11:00–11:45 — Study
11:45–12:00 — Break
Three study sessions therefore provide 135 minutes of concentrated retrieval practice across a three-hour block, while still providing 45 minutes of deliberate recovery.
Part V: What to Do During Each 45-Minute Session
The Leitner levels determine the priority of the study session.
Begin with the cards that are due for review.
Suppose today you have:
70 Level 1 cards
35 Level 2 cards
20 Level 3 cards
100 Level 4 cards
You should not simply start at Level 1 and spend the entire session learning new cards.
First protect previously learned material.
A useful order is:
Due Level 3 → Due Level 2 → Level 1 → New cards
Why?
Because forgetting previously learned information creates additional work. Reviewing cards when they become due preserves the accumulated learning before expanding the deck.
Level 4 cards are sampled periodically rather than dominating ordinary sessions.
First Session: Due Reviews
Start the 45-minute timer.
Review all Level 3 cards due today.
For each:
Read the question.
Attempt the answer without assistance.
Reveal the answer.
Score yourself honestly.
Correct → advance.
Incorrect → return to the designated lower level.
Then review the Level 2 cards due today using the same procedure.
If time remains, begin Level 1.
When 45 minutes expires, stop.
Take the full 15-minute break.
Second Session: Level 1 Learning
Return to the cards that are not yet reliably known.
Level 1 cards should receive intensive retrieval practice.
Work through the pile.
Correct cards move upward.
Incorrect cards remain.
Continue until the timer expires.
The important psychological shift is that errors are not failures of studying; errors determine what studying should happen next.
A card you repeatedly miss is giving you useful information: it requires more retrieval opportunities, a better cue, or a stronger conceptual connection.
Third Session: New Material and Consolidation
Once due cards have been reviewed and difficult Level 1 cards have received attention, introduce new material.
Do not add unlimited numbers of new cards simply because they exist.
New cards create future review obligations.
If you introduce 100 cards today, you have potentially created 100 Level 1 reviews tomorrow. If you introduce another 100 tomorrow, the system can quickly become overwhelmed.
Instead, regulate the flow of new cards.
For example:
No more than 20–30 new cards per study day until the existing Level 1 pile is manageable.
The precise number depends on the complexity of the material and the amount of study time available.
Part VI: Use a Strict Retrieval Rule
The greatest threat to the system is generous self-scoring.
Suppose the question is:
What are the five stages of X?
You remember four.
That is incorrect.
Suppose you remember the answer after looking at the first word on the back.
That is incorrect.
Suppose you think:
"Oh, right! I knew that."
That is incorrect.
The relevant question is not:
Did this information seem familiar once I saw it?
It is:
Could I retrieve the required answer before seeing it?
Use a simple scoring rule:
Complete retrieval = correct.
Incomplete, prompted, guessed, or incorrect retrieval = incorrect.
For particularly complicated material, you can define the required elements beforehand. If a definition contains three essential components, for example, all three may be required for advancement.
This prevents the standards from changing depending on how badly you want a card to move upward.
Part VII: Say the Answer Before Turning the Card
Do not silently look at the question for two seconds and then flip the card.
Produce an answer.
Ideally, say it aloud.
For example:
Card: "What is negative reinforcement?"
Before flipping:
"Negative reinforcement is increasing a behavior by removing an aversive stimulus following the behavior."
Then check.
The act of producing the answer makes the card into a miniature examination.
If speaking aloud is impractical, formulate the complete answer internally or write it down.
The essential rule is:
Answer first. Check second.
Never reverse those steps.
Part VIII: Treat Difficult Cards Differently
Some cards will repeatedly fall back to Level 1.
Do not simply hammer them with increasingly rapid repetitions.
Investigate why they are difficult.
There are several possibilities.
The Card Is Too Large
Break it into smaller cards.
The Answer Is Ambiguous
Rewrite the question so that only one answer is clearly correct.
Two Concepts Are Being Confused
Create a comparison card:
"What is the difference between X and Y?"
Then create separate cards for each concept.
The Information Has No Meaningful Association
Create a mnemonic, image, story, acronym, or conceptual connection.
You Understand the Words but Not the Concept
Return temporarily to the textbook, lecture, or instructional material.
Flashcards are excellent for retrieving knowledge. They are not a substitute for understanding something that was never understood in the first place.
Once the concept makes sense, return it to the retrieval system.
Part IX: Separate Learning From Testing
One subtle improvement is to distinguish initial learning from retrieval practice.
When encountering completely unfamiliar material, first understand it.
Read the relevant section. Watch the lecture. Work through the explanation. Identify relationships among concepts.
Then create or begin using the flashcards.
Once the information has entered the Leitner System, however, resist constantly returning to the source material.
The flashcards should increasingly become tests.
This creates two modes:
Learning Mode: "What does this mean?"
Retrieval Mode: "Can I produce it without looking?"
Confusing these modes can lead to endless rereading without developing independent recall.
Part X: Track Progress by Levels, Not Hours
Avoid measuring studying primarily by saying:
"I studied for three hours."
Time spent is not the same thing as material learned.
Instead, track the distribution of the deck.
For example:

Now progress is visible.
The objective is not simply to accumulate study hours.
The objective is to move the entire body of examinable knowledge toward reliable delayed retrieval.
Part XI: What to Do as the Exam Approaches
Early in the study period, the emphasis is learning.
Near the examination, the emphasis changes to verification.
Stop adding substantial new material whenever possible and concentrate on getting the existing deck upward.
Your ideal trajectory is:
Many Level 1 cards → fewer Level 1 cards → mostly Levels 2 and 3 → predominantly Level 4.
Several days before the exam, begin drawing random cards from all four levels.
This prevents the physical or digital organization of the system from becoming a cue.
You should eventually be able to answer questions without knowing whether they came from an "easy" or "hard" pile.
Conduct a Full-Deck Challenge
Before the exam, perform at least one large randomized retrieval session.
Shuffle everything.
Do not study the cards first.
Test them.
Create two piles:
Correct
Incorrect/uncertain
The incorrect pile becomes the final high-priority review set.
This functions as a stress test for the entire system.
Part XII: Add Practice Exams
Flashcards are extremely effective for discrete information, but the final phase should resemble the actual examination.
If the exam is multiple choice, use practice multiple-choice questions.
If it requires short answers, practice answering without choices.
If it requires essays, practice producing outlines from memory.
If it involves case applications, practice identifying concepts from novel examples.
A useful final progression is therefore:
Flashcard retrieval → mixed flashcard retrieval → practice questions → simulated examination
The closer you get to the exam, the more retrieval should resemble the conditions under which the information will ultimately be required.
Part XIII: A Sample Two-Week Study Plan
Suppose you have 300 pieces of information to memorize and 14 days before the examination.
Days 1–4: Build and Learn
Introduce approximately 50–75 cards per day, depending on difficulty.
Use two or three 45/15 cycles each day.
Prioritize Level 1 learning while beginning scheduled Level 2 reviews.
Do not worry that the deck initially looks difficult. It should.
Days 5–8: Expand and Consolidate
By now, cards should be distributed across Levels 1, 2, and 3.
Begin every day with cards due from higher levels.
Then attack Level 1.
Only afterward introduce remaining new material.
The objective is to have essentially the entire examinable content represented in the system by the end of this period.
Days 9–11: Stop Expanding
New material should now be minimal.
Begin sampling Level 4.
Introduce mixed practice questions.
Days 12–13: Test
Randomize cards across levels.
Complete practice questions or a simulated examination.
Any missed information returns to active review.
At this stage, your weakest material should become extremely obvious.
That is useful. Concentrate study time there.
Day 14: Final Review
Do not attempt to relearn the entire course.
Review the remaining difficult cards, important high-yield material, and a sample of supposedly mastered information.
The purpose of the final day is confirmation and targeted repair—not panic-driven exposure to hundreds of cards.
The Complete Daily Routine
Once established, the entire method becomes surprisingly simple.
At the beginning of each study day:
1. Identify which Level 2 and Level 3 cards are due.
2. Set a 45-minute timer.
3. Retrieve answers before checking them.
4. Move correct cards upward.
5. Move incorrect cards downward.
6. After 45 minutes, stop and take a 15-minute break.
7. Begin another 45-minute session with Level 1 cards.
8. Add new cards only after scheduled reviews and difficult material have been addressed.
9. Periodically sample Level 4.
10. Continue across days until the overwhelming majority of the deck reaches Level 4.
The method gradually reallocates your study time automatically.
At the beginning, almost everything is difficult, so almost everything receives attention.
As knowledge strengthens, easy information disappears from daily study and difficult information remains.
Eventually, the system concentrates your effort precisely where it is most needed.
Why the Combination Works
The two methods are performing different jobs.
The 45/15 modified Pomodoro structure manages attention and workload. Instead of facing an undefined command to "study all afternoon," you have a concrete assignment: work intensely for 45 minutes and then stop.
The Leitner System manages memory. Instead of repeatedly studying everything equally, it uses your retrieval performance to decide what deserves additional attention.
Most importantly, the method changes the central activity of studying.
Instead of repeatedly putting information into your brain, you spend increasing amounts of time trying to get information back out.
That distinction matters. Research on retrieval practice and spacing consistently supports deliberately retrieving information across separated learning opportunities as a powerful approach to long-term retention.
For a memorization-heavy examination, the ultimate question is not whether the material has been read, highlighted, reviewed, or recognized.
It is much simpler:
When the answer is hidden and the question appears, can you retrieve it?
The Leitner System provides a way of answering that question repeatedly. The 45/15 study cycle provides a sustainable structure in which to do it. Used together, they transform studying from an open-ended process of reviewing material into a measurable progression toward mastery.
